How the platform is provided
CoachLens is a business tool provided to organizations under a service agreement. When your employer or organization gives you access, they direct how your information is used within the platform, and you should also review their internal policies. We process platform data on their behalf.
Information the platform collects
- Account information: your name, email address, role, and the brands or locations you are assigned to. Passwords are stored in encrypted form.
- Content you create: field visits, store walks, observations, assessments, coaching priorities and action items, recaps, notes, and similar records you enter while using the platform.
- Photos: images you capture or upload during a visit or walk. The app accesses your camera only when you choose to take a photo.
- Usage and technical data: how you interact with the platform, along with log and diagnostic data used to keep the service running and secure.
How we use this information
- Provide the coaching, visit, and reporting features of the service.
- Generate coaching summaries and field insights, which may involve automated processing and AI.
- Maintain, secure, troubleshoot, and improve the platform.

Automated processing and AI
Some features summarize and analyze the content you enter to produce coaching insights and reports. To do this, content may be processed by trusted AI service providers acting on our behalf under contract. This content is used only to deliver the feature. It is not used to train public AI models and it is not sold.

We retain platform data while your account is active and as needed to provide the service, meet legal and contractual obligations, and resolve disputes. When your organization’s agreement ends, we return or delete platform data in line with that agreement.
